Job Description
Our client, a fashion holding company, is seeking an Executive Assistant to support their General Counsel and Board of Directors. The company is a global leader in the apparel industry and has an amazing reputation . This is working in their NYC Headquarters four days a week (Fridays remote). This is an amazing opportunity to be a true right hand, while being privy to highly sensitive and confidential information. Must have experience with Boards and supporting a Legal executive.
Responsibilities:
- Provide administrative executive support to General Counselor and VP
- Prepare all documents and contracts, as well as coordinate signatures when needed
- Schedule and organize meetings and all appointments, including agendas, and ordering meals.
- Answer and monitor incoming calls and emails
- Plan Legal Summits for members (US and international) handle coordination of team building event and activities
- Process and distribute quarterly audit response letters to external auditor and coordinate with outside counsel on response letters
- Take minutes during meetings
- Plan and executive all travel arrangements including hotels, flights, transfers, cars, etc.
- Help streamline systems and maintain database, spreadsheets, files, etc.
- Manage strict deadlines in busy, ever-changing environment
- Prepare, process, and submit expense reports
- Responsible for project management, including keeping track of projects, running meetings.
- Ability to track various projects simultaneously and handle tasks required by the Project Managers or the Executive
- Assist with ad hoc projects as needed.
Required Qualifications:
- Minimum 8+ years of administrative experience, ideally working for a General Counsel
- Must be out of a global, Fortune 500 firm
- Must have supported a senior executive in HR, Legal, or Compliance
- Experience working with Board of Directors
- Bachelors degree strongly preferred/required.
- Extremely polished, forward-facing, and professional.
- Excellent interpersonal and communication skills (both verbal and written).
- Demonstrate the ability to handle multiple tasks with little or no supervision
- Ability to keep executive on task and be able to pull in and out of meetings.
- Excellent technology/software skills a must.
- Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with Diligent Boards or similar Board portal desired
- Experience with Workiva or other SEC reporting platform
- Notary Public license in New York a plus
